Start with three numbers: guest count, service hours, and drinks per guest (plan on 1.5 for a two-hour reception, 2+ for an all-day conference). That tells you how many baristas and bars you need, which is the real cost driver. Then add the extras — branded cups, custom bar wraps, signature drinks, latte logo printing. How many baristas do I need for my event?
As a rule of thumb, one barista comfortably serves about 60–75 handcrafted drinks per hour. For a 150-guest wedding reception over two hours, one bar with two baristas keeps the line moving. For a 1,000-person conference you're looking at multiple bars. We size the team for you when we quote so nobody stands in line.
Can you put our company logo on the coffee?
Yes. We print logos, monograms and custom images directly onto the microfoam of each latte, and we can brand the cups, the bar wrap, the menu boards and the signage to match your event or campaign. It's one of the most-photographed parts of any activation we do.
Do you need power and how much space does the bar take?
A standard bar needs roughly an 8-foot footprint and dedicated 20-amp circuits for the espresso machine and grinders. If your venue can't supply power, tell us early — we plan around it. Our operations team handles load-in, setup, breakdown and venue coordination, so it isn't something you have to manage.
How far in advance should we book?
Popular Saturdays in wedding season and the December corporate stretch go first, so 2–3 months ahead is comfortable. That said, we do fill last-minute requests when a bar and crew are free — it's always worth asking.
